Privacy Policy

LivingMeeting is operated by Gerlich Enterprises, LLC (“LivingMeeting,” “we,” “us”). It is an AI-native meeting workspace with real-time meetings, live transcription, an AI collaborator, and calendar integrations. This policy explains what data we collect, why we collect it, how long we keep it, and the choices you have. It applies to livingmeeting.com and the LivingMeeting application.

Information we collect

  • Account information. When you sign in with Google or Microsoft, we receive your name, email address, and profile photo from your identity provider. If you use a magic link, we use your email address to authenticate you. We do not receive or store a password.
  • Calendar event data. If you connect your Google or Microsoft calendar, we read event details — titles, descriptions, times, and attendee lists — to show your upcoming meetings and link them to LivingMeeting meetings. If you schedule meetings or follow-ups from the app, we also create calendar events (and send invitations) on your behalf.
  • Availability and working hours.To suggest follow-up times that work for everyone, we query connected calendars for free/busy intervals (busy times, not event contents) and determine each person’s working hours — read from your Outlook settings where available, otherwise inferred from when your meetings usually happen. Your working hours and how we derived them are shown in your settings.
  • Slack integration.If your team installs our Slack app, we store the Slack team id/name, a bot token, and the installer’s email to link the workspaces. Messages that invoke the app (the /livi command or an @Livi mention) are processed to respond; we do not read other Slack messages.
  • Guest participants. Guests can join public meetings with just a display name. If a guest approves calendar access so Livi can help schedule follow-ups, we create an account for them keyed to the email from their calendar provider, subject to this policy.
  • Meeting audio and content. During a meeting, audio is streamed to our transcription provider to produce a live transcript. Audio segments are processed for transcription and then discarded; the resulting transcripts are retained as part of your meeting record, along with meeting content you and your team create: chat messages, agendas, action items, documents, spreadsheets, charts, and meeting replays.
  • Billing information. Payments are handled by Stripe. We receive subscription status and invoice metadata; we never see or store full card numbers.
  • Usage data. Log and diagnostic data such as feature usage, timestamps, browser type, IP address, and error reports, used to operate, secure, and improve the service.

How we use information

  • To provide the service: run meetings, transcribe audio, generate AI summaries and artifacts, and sync your calendar.
  • To operate accounts, workspaces, and billing.
  • To secure the service, prevent abuse, and debug problems.
  • To communicate with you about the service (transactional email, support).
  • To improve the product using aggregated, de-identified usage metrics.

We do not sell your personal information, and we do not use your meeting content or calendar data for advertising.

Google API Services

LivingMeeting’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, for data obtained through Google APIs (calendar events):

  • We only use it to provide and improve user-facing features of LivingMeeting — showing your meetings and scheduling follow-ups.
  • We do not use it for advertising, and we do not sell it.
  • We do not transfer it to third parties except as necessary to provide those features (our subprocessors, listed below), to comply with law, or as part of a merger or acquisition with prior notice to you.
  • Humans do not read this data unless (a) you give us explicit permission (for example, in a support request), (b) it is necessary for security purposes such as investigating abuse, (c) it is required to comply with applicable law, or (d) it has been aggregated and anonymized for internal operations.
  • We do not use Google user data to develop, improve, or train generalized artificial-intelligence or machine-learning models.

You can revoke LivingMeeting’s access to your Google data at any time from your Google account permissions page or from workspace settings in the app.

How we share information

We share personal data only in the limited ways described here. Our service providers (subprocessors) help us run LivingMeeting and are bound by contractual confidentiality and data-protection obligations:

  • Vercel (US) — application hosting.
  • Neon (US) — Postgres database hosting for application data, transcripts, and meeting content.
  • Fly.io (US) — real-time meeting and WebRTC infrastructure.
  • OpenRouter (US) — AI processing: transcription of meeting audio and language-model generation of summaries and artifacts.
  • Stripe (US) — payment processing.
  • Google (US) — sign-in and calendar integration.
  • Microsoft (US) — sign-in and calendar integration.

The current list, with the data each touches, is maintained at livingmeeting.com/subprocessors. We may also disclose information if required by law or to protect the rights, safety, and security of LivingMeeting, our users, or the public. Within your workspace, meeting content is visible to the meeting’s invited participants and workspace members according to your workspace’s settings.

If you connect Claude, ChatGPT, Codex, or another AI client through MCP, then at your direction we send that client the meeting data requested by its authenticated tool calls. This can include meeting details, agendas, transcripts, summaries, artifacts, pinned items, and action items. A connected client can also request that LivingMeeting create, update, or delete meeting records within the workspace you approved. The client provider processes information under its own terms and privacy policy. You can revoke the connection at any time from Integrations in LivingMeeting.

Data retention

  • Meeting content (transcripts, replays, documents, charts, chat) is retained until your workspace deletes it or the workspace or account is deleted.
  • Meeting audio is processed for transcription and then discarded; it is not retained after processing.
  • Account data is retained while your account is active and deleted within 30 days of account deletion, except where we must retain records for legal, tax, or security purposes.
  • Calendar data is retained only as long as needed for the features above and is removed when you disconnect the integration or delete your account.

Your rights and choices

You can access and edit workspace content in the app, disconnect calendar integrations in settings, and export your meeting content. To request access to or correction of your personal data, email support@livingmeeting.com. You can request account deletion from the Account sheet in the mobile app or through our account deletion page. We honor deletion requests within 30 days. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA (access, portability, objection, non-discrimination); we honor these regardless of location where feasible.

Cookies

We use only the cookies necessary to keep you signed in (authentication session cookies) and to secure the service. We do not use advertising cookies or third-party ad trackers.

Security

Data is encrypted in transit (TLS 1.2+) and at rest, access is restricted per workspace, and you sign in through Google, Microsoft, or a one-time email link rather than a stored password. See our Security overview for details. No method of transmission or storage is 100% secure, but we work to protect your data using industry-standard practices.

Children

LivingMeeting is a workplace product and is not directed to children. It is not intended for anyone under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. If we make material changes we will notify you by email or in-product notice before they take effect, and we will always update the date at the top of this page.
